Create reports with Instant Report Builder

Overview

With the Instant Report Builder tool, you can retrieve detailed statistics either as a one-time report or a scheduled report. It also provides an instant preview of the data for the first 24 hours of the selected report period.

If the financial metrics, such as revenue numbers shown on the Instant Report Builder, differ from the numbers on the monthly invoice, the numbers on the invoice take precedence.

Reporting plans and data retention

Equativ offers two reporting plans: free and premium. To sign up for the premium plan, contact your Equativ representative.

After Equativ activates your premium plan, historical data is available for a maximum of 40 days prior to the activation date. You do not get immediate access to the full 400 days of historical data.

 

Data retention is the number of days Equativ stores reporting data before deleting it. This period determines the earliest start and end dates you can select in the report date picker. For example, if your data retention is 40 days, your selected dates cannot be more than 40 days before today.

The data retention period for a report depends on your reporting plan and the selected dimensions or metrics:

  • Limited dimensions and metrics: Data retention is 40 days for the free reporting plan or 400 days for the premium reporting plan.
  • Unlimited dimensions and metrics: Data retention is unlimited.

Data retention example

If you use the premium reporting plan and select the limited metric Keywords, the dates you select in the report date picker cannot be earlier than 400 days before today.

Switch to Instant Insights

You can easily switch to Instant Insights at any time without losing any of the current settings (selected time frame, selected dimensions/metrics etc.).

Persistent settings

Instant Report Builder remembers your settings. When you return later, you can pick up exactly where you left off.

Access

To access the Instant Report Builder, go to Reports > Instant Report Builder.

Datepicker

Select the desired time frame for your report using the datepicker.

Time zone

Instant Report Builder uses the time zone specified in your EMP network.

Data freshness

The data freshness in Instant Report Builder is approx. 6 to 10 hours.

Views

All metrics and dimensions are organized in Views. Choose from the views Programmatic, Direct or Global in the top right corner.

Metrics

Metric selection

The metrics are categorized into Video, Financial, Delivery and Interactions. Click on Metrics + to add new metrics. If needed, rearrange the metrics using drag and drop.

Available metrics

Read chapter "Metrics in Instant Insights and Instant Report Builder" in the Report metric reference article to find a definition of each metric.

Reminder: the metrics are organized by view (see chapter "Views" above). Consider switching the view if you cannot find a metric.

Metric filters

You can set metric filters using the following numerical operators:

  • Is greater than or equal to.
  • Is less than or equal to.
  • Is between.

Once a filter is set, the tables will be updated to show only the rows matching the filter.

The following screenshot shows the filter “Is greater than or equal to: 1000”, applied to the Impressions metric. 

Dimensions

Dimension selection

The dimensions are categorized into Video, Ad Info, Quality & Privacy, Placement, Competition, Targeting and Time. Click on Dimensions + to add new dimensions. If needed, rearrange the dimensions using drag and drop.

Dimension filters

To filter dimensions, proceed as follows:

  1. Click on + next to Filter.
  2. Select the desired dimension.
  3. Select an operator:
    1. Is: Exact match (exactly the specified value).
    2. Is not: Exclusion (except the specified value). 
    3. Contains: Partial match (anywhere within the dimension value). Not available for integer dimensions, such as Campaign Id.
    4. Starts with: Prefix match (at the beginning of the dimension value). Not available for integer dimensions, such as Campaign Id.  
  4. Search for values, entering at least 3 characters to get automatic suggestions. Auto-suggestion is limited to values that have actual results.
  5. Select the values. Alternatively, paste values, as explained in section “Bulk filter input", later in this document.

You can also filter a value by enabling the according checkbox next to the value in the dimension table. 

 

The following rules apply for filters:

  • Multiple values within the same dimension are combined using the OR operator, for example: SeatId=123 OR Seat Id=456.
  • Multiple values across different dimensions are combined using the AND operator, for example: SeatId=123 AND DealId=123.

Bulk filter input

For multi-select filters, you can switch to text mode to bulk input multiple values in a single step. Separate each value with a comma, semicolon, or line break. This allows you to quickly filter by pasting a prepared list, such as a list of countries, directly into the text mode field.

Reminder: the dimensions are organized by view (see chapter "Views" above). Consider switching the view if you cannot find a dimension.

Running the report

Once you have selected at least one metric, click on Run report to trigger the report generation process. Depending on the size of the report, the report data is displayed as follows:

  • If the report has 200 or less rows, all the reporting data is displayed directly and you can download or schedule the report.
  • If the report has more than 200 rows, only the first 200 rows are displayed. Click Download report to get the complete report data containing all rows.

The Run report button is unavailable in the following cases:

  • No metric is selected.
  • The report generation is ongoing. A “loading” spinner is displayed on the Run report button.
  • The report generation is finished. The Run report button becomes available as soon as you change a report parameter, such as adding a new dimension or changing the report period.
  • The report can’t be created due to a restriction. For example, the selected timeframe is too long.

Previewing the report

The report preview shows up to 20,000 rows of the report. You can interact with the report preview as follows:

  • Dimension column filtering: Use the text operators Is, Is not, Contains, Does not contain, Starts with, and Ends with to filter dimension columns, such as Deal name or App or Site Domain. You can combine two filters using AND/OR, for example:
    • “Starts with abc OR Ends with xyz” to filter any values of the dimension that either start with abc or that end with xyz
    • “Contains def AND Contains jkl” to filter any values of the dimension that contain both def and jkl.
  • Metric column filtering: Use the numeric operators Less than, Less than or equal to, Greater than, Greater than or equal to, and Between to filter metric columns, such as Auctions or Impressions. You can combine two filters using AND/OR. For example: “Greater than 6000 OR Between 2000 and 4000”.
  • Column sorting: Sort any column in ascending or descending order.
  • Column reordering: Drag and drop columns to reorder them.

Interactions with the report preview are disabled if the report exceeds 20,000 rows (the preview limit). Filtering, sorting or reordering is blocked to prevent you from working with incomplete data.

 

Downloading the report

To download the report as a one-time report, click on Download report and choose from

  • CSV file - downloads the report in csv format
  • Excel file - downloads the report in Excel format
  • Send by e-mail - opens the "Generate report" modal where you can specify the Report name, the File format and the Email recipient(s)

Scheduling a report

You can also schedule a report to receive it by e-mail on a regular basis:

  • define a Report name
  • select the File format of the report: CSV or Excel
  • next to Send report:
    • set how frequently you want to receive the report: Hourly, Daily, Weekly or Monthly
    • select the period each report will cover: Last hour, Current day, Previous day, Last 7 days, Previous week, Current month, Previous month
  • next to Start/Stop schedule on, specify the Start date/time and the End date/time of the scheduled report; during this time frame, the report will be sent with the frequency selected above (Hourly, Daily etc.)
  • add the recipient Email addresses of the scheduled report, separated by comma (your own email is entered by default). Separate multiple e-mail addresses with a comma, following this pattern: name1@domain1.com,name2@domain2.com. Spaces between e-mail addresses are not allowed.
  • click Confirm to run the scheduled report

Report list

Click on Report list to display all One-time/Scheduled reports.

Customizing the report list

You can customize the report list as follows:

  • Hide/Display columns - using the selector shown in the screenshot above, you can hide/display columns (Status, Name, View etc.).
  • Pin columns - hover over a column name and click the pin icon. The pinned column will then move to the left.
  • Rearrange columns - hover over a column header and drag and drop it to the desired location.
  • Adapt column width - drag and drop the vertical lines between columns to change the column width.

Context menu

Hold your mouse over a report in the list to display the "..." menu with the following options:

  • Edit report schedule: Edit report options, such as Report name, File format, or Email recipients. For scheduled reports only.
  • Clone configuration: Open the Instant Report Builder with the parameters pre-selected for further editing.
  • Renew: Reschedule the report for another six months. For scheduled reports only. 
  • Download API request (JSON): Copy or download your report configuration code to request it with the reporting API. For more information, see Reporting API: get started.
  • Delete: Delete the report.

Report templates

As an alternative to manual report configuration, you can create the report based on a report template.

  • click on Select template in the top right corner
  • select one of the templates; each report template shows the number of metrics/dimensions/filters, the default time frame and, on mouse over, further details about the individual elements
  • once you have selected the template, adjust the time frame and/or other settings if needed
  • generate your report as usual
